The Executive Assistant at Leeds United Football Club provides high-level administrative support to the Club's COO and leadership team, ensuring seamless execution while contributing to the overall success of the commercial organization and the Club’s business operations. The successful candidate will provide comprehensive and confidential executive assistance service to the COO. This position requires a proactive and organized individual with excellent communication skills, professional maturity, and a passion for increasing efficiency through improving the ways that things work.

Job Purpose / Role & Responsibilities

Calendar Management:

·       Coordinate and manage the COO’s calendar, including scheduling meetings with senior stakeholders across various time zones as well as finalizing necessary travel arrangements.

·       Ensure that all activities align with the club's priorities and business objectives.

Communication:

·       Act as a central point of contact for internal and external stakeholders, handling inquiries, and facilitating communication between various departments.

·       Prepare official correspondence, reports, and presentations on behalf of the COO.

Meeting Coordination:

·       Organize and coordinate executive meetings, ensuring necessary materials are prepared and distributed in advance.

·       Take minutes during meetings and follow up on action items to ensure timely execution.

·       Greeting Guests and guiding them to allocated rooms whilst providing refreshments and being their point of contact on site. 

Project Support:

·       Assist in the planning and execution of special projects, events, and initiatives as assigned by the COO.

·       Collaborate with other departments to ensure smooth project implementation.

Administrative Support:

·       Provide general administrative support, including filing, data entry, and office organization.

·       Making travel arrangements for the business departments of the Company that report to the COO as requested.

Relationship Management:

·       Build and maintain positive relationships with key stakeholders, both internal and external.

·       Act as a liaison between the executive team and various departments within the club.

Miscellaneous 

·       In addition to these duties, the job holder is required to carry out such other duties as may be reasonably required.

Skills, Knowledge and Experience 

·       Proven experience as an executive assistant or in a similar administrative role. Experience working at a global company is preferred. 

·       Strong written and verbal communication skills.

·       Proficient in Microsoft Office Suite and other relevant software.

·       Professional maturity and resulting proficiency in handling confidential information.

·       Must be highly organised and assertive with strong communication skills and time management skills.

·       The role will demand a high level of self-motivation, drive, and enthusiasm. 

·       A full Driving Licence.

Hours and Location of Work

37.5 hours per week (Monday to Friday 9am-5.30pm) with some flexibility to meet specific business needs required.  Expectation that the majority of working time will be spend at Elland Road.
